Conducting the Interview

Our goal is to provide School Districts with the following information that will assist them in conducting an interview that will lead to selecting the best firm for their project:

  1. Interview preparation that minimizes disruption to the owner.

  2. Outline that will streamline the interview and standardize the evaluation criteria and scoring process.

Minimizing Disruption to the District
Shortlist Interview Preparation/Notification

  • Interview Time, Date, Location & Duration
  • Interview Room Size & Setup
  • Short list Competition (how many firms to interview?)
  • Interviewee’s date and time
  • Interview Format (Interview vs Q&A)
  • Instructions to Interviewees – What you are looking for, who should come to the interview (Project Specific questions in advance)
Streamlining the Process
  • Selecting the Interview Panel (members w/knowledge of the project, ideally RFQ/RFP evaluators)
  • Formal Instructions for the Interviewing Panel

    Conducting the Interview

    • Evaluation Criteria (RFQ, RFP based, all firms short listed are qualified, and will give you the same basic presentation)
    • Knowledge of the project – Did they do their homework?
    • Personnel - experience, commitment, chemistry
    • Sub consultants – what do they bring to the team?
    • Quality of Work- References, References, References
    • Tie Breaker – Why do you want this job?
Evaluating the Responses

It is critical that the proposal evaluation process begin with a well-written RFP that will contribute to the success of the criteria evaluation process. Selection Committee members background, knowledge of the project and end user understanding is also a major contributor to selecting the right firms to shortlist for your project. Consultants’ knowledge of the project, understanding of the scope, relevant project experience, commitment of key personnel and references are key to selecting the right firms to short list.
